Privacy Policy

Apex League Ottawa (“Apex League”, “we”, “us”) runs a recreational 7v7 soccer league in Ottawa, Ontario, and operates this website at apexleague.ca. Questions about this policy or your information can be sent to management@apexleague.ca.

We collect only what we need to run the league:

• Account details — your name, email address, and password. Passwords are handled by our authentication provider (Clerk); we never see or store them.
• Registration details — phone number, playing position, experience level, kit sizes, jersey name and number, and any teammate requests you submit.
• Payment details — payments are processed by Stripe. We never see or store your card number; we keep only the payment status and a reference to the transaction.
• League activity — your stats, team, match appearances, player photo if you provide one, and messages you post in team chat.
• Game media — matches are recorded on video, and photos may be taken at league events.
• Technical data — basic analytics about how the site is used (PostHog), error reports when something breaks (Sentry), and anti-bot checks on forms (Cloudflare Turnstile).

• Running the league: rosters, standings, fixtures, stats, and team assignments.
• Processing registration payments and refunds.
• Sending transactional email — registration confirmations, roster invites, and league notices. We do not send marketing email.
• Publishing league content such as leaderboards, player pages, and highlights.
• Keeping the site secure and fixing problems.

A league is a public competition, so some of your information is visible to others by design: your name, team, playing stats, player card, and photo (if provided) appear on league pages, and match recordings and highlights featuring you may be published on the site and the league's social media channels. If you have concerns about appearing in league media, contact us at management@apexleague.ca.

We do not sell or rent your personal information — ever. We share it only with the service providers that run the platform, each receiving only what it needs: Clerk (sign-in and accounts), Stripe (payments), Supabase (database and photo storage), Render (website hosting), Resend (email delivery), Sentry (error monitoring), PostHog (usage analytics), Cloudflare (bot protection), and Google/YouTube (hosting and playback of match recordings). Some providers store data outside Canada (typically in the United States), where it is subject to local laws.

Account and league records are kept while you have an account and for as long as needed for league history (past standings and stats). Payment records are kept as required by Canadian tax and accounting rules. You can ask us to delete your account and personal information at any time; we may need to retain payment records and may keep your appearance in historical league results and existing recordings.

• You can view and update your account details from your account page.
• You can request a copy of the personal information we hold about you, ask us to correct it, or ask us to delete it by emailing management@apexleague.ca.
• We respond to requests in line with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).

We use cookies that keep you signed in (Clerk session cookies) and analytics that help us understand how the site is used. We don't use advertising cookies.

If we change this policy, we'll update this page and the date above. Significant changes will be announced to registered members by email or site notice.
